Operations Manager
Job Type: Full Time - Seattle, WA (Non-Remote)
Salary: $85,000-$95,000/year
Requirements: As the Operations Manager, you will be responsible for the following objectives:
- Grow the efficiency of existing organizational processes and procedures to grow and sustain the organization’s internal capacity
- Supervise and provide guidance to our team of technicians
- Maintain constant communication with management, staff, clients, and vendors to ensure proper operations of the organization
- Develop, implement, and maintain quality assurance and safety protocols
- Ensure operational activities are cost effective and timely
- Manage and track staffing requirements, included hiring and development of employees as needed
- Oversee accounts receivable

JOB DUTIES & RESPONSIBILITIES
- Lead, motivate and support a team of technicians within a time-sensitive and demanding environment by providing guidance in problem resolution
- Oversees scheduling and dispatching of service technicians to increase customer experience and achieve operational efficiency
- Performs customer care activities by consulting with customers to provide product recommendations. and quotation/bids. Creation and delivery of quotation and bids to customers in a timely manner
- Coordination of project planning and project execution including logistics, procurement of materials, and scheduling. Maintains proper job workflow process documentation from job intake to job close out
- Manage timely data collection to update operations metrics to achieve productivity targets, cost reduction, eliminate errors, and deliver excellent customer service
- Responsible for proper and timely invoicing process and AR activities
- Promote, build, and maintain excellent customer service and deliver customer retention. Address customer concerns and resolves issues with customer in a professional manner
- Assists with recruiting of TFL technicians as directed, conducting job interviews and provide input during the selection process, onboarding and offboarding of technicians
- Responsible for initial and ongoing training and development of all technicians
- Conducts yearly performance evaluation with TFL technician and provides feedback to owner and maintains HR documentation
- Maintains key records for customer accounts
- Maintain company property and documentation in accordance with established policies and procedures; handle proprietary information in the prescribed manner; adhere to and support The Flying Locksmiths of Seattle policies and procedures including all safety requirements
- Maintains a safe working environment while ensuring TFL technicians are implementing those practices including use of proper PPE (Personal Protective Equipment)
- Ensures company policies and loss prevention procedures are followed
- Properly maintains and inspect fleet vehicles by conducting tools and inventory audits with technicians. Coordination of any necessary vehicle maintenance issues to ensure minimal down time
- Maintain knowledge of industry changes and new developments in products and technology
SKILLS & REQUIREMENTS
- College Degree
- 5+ years of proven experience in an operations management position with direct reports
- 2+ years of dispatching and scheduling experience
- Typical schedule is Monday-Friday from 8:00am-4:30pm. Hours WILL VARY depending on workload and typically requires 40-50 hours per week during peak times
- Must be able to read and understand work orders and site drawings
- Experienced in installation, repair, and maintenance of access control systems, video surveillance systems commercial door hardware
- Knowledge of Seattle Fire Code, IBC and WAC codes
- Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service
- Highly trained in conflict management and business negotiation processes
- Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook, Powerpoint)
